Job Outline / Description

The Making of men (TMOM) is a small, but rapidly growing education and training organization with a focus on Rites of Passage education in schools and its own programs around the world. Based at Yarrakoora, a purpose built training facility in the Byron Bay Hinterland NSW we are seeking a highly motivated and organised person to join our team for 25 hours a week in the role of Administration Manager.

The ideal candidate will have these key skills

High levels of IT literacy with experience using cloud-based applications, including:

Google Suite, Xero, WordPress, Trello, Asana, Mailchimp, Excel, Word, Insightly, and Paypal. 

  • They will demonstrate excellent communications skills and phone manner
  • Be highly organised and able to work unsupervised to a deadline
  • Have a high-level competency in written communications
Key roles and responsibilities
  • Reception (mobile phone)
  • Email enquiries
  • Calendar management
  • Booking travel: flights, hotels, hire cars (domestic and international)
  • EA duties for CEO and General Manager
  • Arrange & Coordinate logistics for all programs including:
  • Enquiries and Assist with FAQs with Parents in the lead up to camps and programs
  • Publish dates and registration links and edit related web pages and Website Forms
  • Collation and distribution of attendee requirements, provide regular updates to facilitators
  • Track payments, raise invoices and arrange payment plans in Xero and keep register
  • Follow up camp participant leads for new programs
  • EDM and newsletter mailouts
  • Courier and mail logistics
  • Website updates
  • Accounts payable , chasing debtors, reconciliation of accounts for bookkeeper.
  • Assisting with school bookings and speaking engagements
  • Social Media monitoring
  • Assist with Advertising for camps
  • Mailchimp mailouts – camp communication and other
  • Data Entry – Evaluation Reports
Qualifications and/or experience

1. Proven work experience in Administration, EA or Office manager role.

2. Demonstrable knowledge of IT skills and literacy, adequate knowledge of Cloud-based collaborative work processes and project management software  

3. Advanced organisational skills with the ability to handle multiple tasks and deadlinesAbility to write effective draft copy, instructional text, audio scripts/video scripts

Direct Reports

Administration Manager / EA  will report to the General Manager & CEO and liaise with the Head of training and program development and Facilities Manager where appropriate.
